Privacy Policy
Effective date: September 2026
Movement With Chelsea ("Movement With Chelsea," "we," "us," or "our") provides 1:1 yoga, Pilates, and strength training sessions, along with metabolic testing (RMR/VO2 max) and related coaching services (the "Services"). This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have. It applies to our website, intake and booking forms, and any related communications with us.
By submitting a form to us, booking a session, or otherwise using our Services, you agree to the practices described in this Privacy Policy.
1. Information We Collect
a. Information you give us directly
Contact information — name, email address, phone number, and (if provided) mailing address.
Intake and movement application information — fitness goals, exercise history, injury history, relevant health conditions, and other information you share with us so we can plan safe, appropriate sessions.
Metabolic testing results — data collected during RMR (resting metabolic rate) or VO2 max testing, such as measurements and calculated results.
Booking and scheduling information — session dates, attendance, and package/membership selections.
Payment information — billing details processed through our third-party payment processor (see Section 3). We do not store full payment card numbers ourselves.
Communications — messages you send us by email, text/SMS, or through our booking platform.
b. Information collected automatically
If you visit our website, we (or tools we use, such as analytics or scheduling widgets) may automatically collect standard technical information, such as your IP address, browser type, device type, and pages viewed, typically through cookies or similar technologies.
We collect health and fitness-related intake information only to design safe, effective sessions and to administer metabolic testing you request. We do not use this information for any purpose unrelated to providing our Services, and we do not sell it.
2. How We Use Your Information
We use the information we collect to:
Schedule, provide, and personalize your sessions and testing appointments safely;
Communicate with you about bookings, confirmations, reminders, and changes to your sessions;
Process payments for Services you purchase;
Respond to your questions and requests;
Send you marketing or promotional messages about our Services, where you have agreed to receive them (see Section 5 for opt-out options);
Maintain records, improve our Services, and meet our legal and business obligations.
3. How We Share Your Information
We do not sell your personal information. We share information only as needed to run our business, including with:
Arketa, our client management / booking platform, which stores your contact, booking, and intake information on our behalf;
Payment processors used to securely process payments for sessions and packages;
Email and SMS/text messaging providers used to send appointment reminders, confirmations, and (where you've opted in) marketing messages;
Professionals such as accountants or legal advisors, where necessary for our business operations;
Government authorities or other parties, if required by law, or to protect the safety, rights, or property of Movement With Chels, our clients, or others.
If we ever sell or transfer our business, client information may be transferred as part of that transaction, subject to this Privacy Policy or a policy at least as protective.
4. Data Retention
We keep your information for as long as needed to provide Services to you, maintain business and tax records, and comply with our legal obligations — generally for [X years] after your last session with us, unless you request earlier deletion (see Section 5) and we are not required to retain it longer.
5. Your Choices and Rights
Marketing communications: You can opt out of promotional emails at any time using the unsubscribe link, and opt out of promotional texts by replying "STOP." You may still receive non-promotional messages related to a session you've booked (e.g., appointment reminders).
Access, correction, or deletion: You may ask us to access, correct, or delete the personal information we hold about you by contacting us at the information in Section 9. We will respond within a reasonable time, though we may need to retain certain records for legal, safety, or business purposes.
State privacy rights: If you are a resident of a state that grants additional privacy rights (for example, the right to know what information is collected about you, or to opt out of certain sharing), you may exercise those rights by contacting us, and we will honor requests to the extent required by applicable law.
6. Data Security
We use reasonable administrative and technical safeguards to protect your information, including relying on reputable third-party platforms (such as Arketa and our payment processor) that maintain their own security measures. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Children's Privacy
Our Services are intended for adults. We do not knowingly collect personal information from children under 13, and Services are not offered to individuals under 18 without the involvement and consent of a parent or legal guardian. If you believe a child has provided us information without appropriate consent, please contact us so we can delete it.
8. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date above and, where appropriate, notify you directly. Your continued use of our Services after changes take effect means you accept the updated policy.
